SINGLE LINE TELEPHONE USER GUIDE FOR DWU

 Making a call

Pick up handset, internal dial tone is heard. 

Dialing outside of the campus dial a 9 plus the number.  If call is a toll call you will be prompted by a steady tone after you have dialed the telephone number.  Dial your access code to complete the call.  Any other type of non toll call it will not be necessary to dial an access code to complete the call. 

If dialing within the campus dial the 4 digit extension.

Call Pickup

To answer a call ringing on another set that is in your pickup group, lift handset and dial #4. 

To answer a ringing call at any set, dial *4 and the 4 digit extension number. 

Placing a call on Hold 

Flash the hook switch or push the flash key, then hang up.  To retrieve the call pickup the handset and press the flash key.  Hold recall will ring back the held call in 1 minute. 

Using Call Park for holding a call.

Flash the hook switch or press the flash key on your set

Press the * key then dial a park access code between 910 – 999

If the park orbit is already handling a call you will receive a busy, dial a different park access code.

To retrieve the call press the # key and the park access code that you placed the call on. (Access codes 910 – 999) 

Transferring outside calls – Screened Transfer to announce call

When on a call, press the flash key, dial the 4 digit station number.

Wait for the party to answer, announce the call.  Hanging up set will send call to transferred party.

Transferring outside calls – Unscreened transfer

When on a call, press the flash key, dial the 4 digit station number, hang up.

Call will be transferred. 

Calling Internal Stations 

Lift handset & dial 4 digit station number.  Call will ring 3 times then go to their voice mail. 

Forwarding calls to another station 

Lift handset, listen for internal dial tone.  Dial *52 then station number.  All calls to your station will forward immediately to another station. 

Cancel call forwarding, dial #5 then hang up phone.

(if you forward your calls to a different station your calls will not go to your voice mail.) 

Voice Mail  

All calls will ring to a telephone set for 3 rings then go to voice mail. 

Accessing Voice mail within the Campus

Dial Voice Mail gateway number 2190, you will be prompted to enter your mail box number, which is the same as your station number.  Then will ask for your password, which in default is the same as your station number. 

Accessing Voice Mail away from Campus 

There is a number of ways this can be accomplished; you can dial your own direct number, when you hear your voice mail greeting press the # key, the voice mail will prompt you to enter your password, you can now listen to your messages, change or record greetings, passwords or send messages. 

Or dial the voice mail gateway number, which is 995-2190 when voice mail answers press the # key, you will be prompted to enter your mail box number, then your password. 

Setting up Voice Mail 

The first time you enter your voice mail you will hear a tutorial on how to set up your mail box.  Pressing the # key will bypass this tutorial and play it the next time you enter your voice mail.  Pressing the * key will delete the tutorial from playing again. 

Make sure you record your name, a greeting and change the password to something other than your station number.  The password will recognize up to 4 digits for your new password. 

Listen to Messages, Changing Name, Greetings or Password

Listen to Messages - When you enter your mail box you have the option to listen to messages, send a message, or mail box options.  Dial 1 to listen to messages, then dial 1 to listen to new messages, dial 2 to listen to saved messages.  (Short cut to new messages, dial 9). To replay message dial 1, to save message dial 2, to delete the message dial 4 

(During play back of messages you can dial 8 to rewind, 9 to fast forward or 0 to pause the message.) 

Sending messages - dial 2, enter mailbox number to which message is to be sent, record message after the prompts. 

Options menu – Dial 3 the voice mail will prompt you to dial 1 to record your name, dial 2 to record your greeting, and dial 3 to change password. 

Recording Name - Dial 1 in the Options menu, follow the voice mail prompts. 

Recording Greetings - Dial 2 in the Options menu, then dial 1 to play greeting, dial 2 to re-record greeting, dial 3 to delete greeting or dial 5 to select a different greeting.  (Each mail box has 10 greetings that can be recorded and used at any time.) Greetings numbers are 0 though 9, with 0 being the current default greeting. 

Changing Password – Dial 3 in the Options menu, voice mail will prompt you to enter a new password.   

WARNING: DO NOT PLUG A SINGLE LINE TELEPHONE INTO A MULTI-LINE DIGITAL STATION JACK OR USE A MULTI- LINE DIGITAL STATION SET WHERE A SINGLE LINE TELEPHONE IS PROGRAMMED.  THIS CAN DAMAGE THE TELEPHONE SET OR SYSTEM PORT.
